TRACE to Streamline Pre-Registration at Cheyenne Regional Medical Center Cheyenne, Wyo., August 27, 2009Cheyenne Regional Medical Center has become the first hospital in Wyoming to purchase the TRACE platform from the White Stone Group, Inc. The contract represents The White Stone Group’s expansion to include hospitals in 35 states across the U.S. As Wyoming’s largest healthcare system, Cheyenne Regional serves patients from southeast Wyoming, northern Colorado and western Nebraska. The hospital’s primary goal for TRACE is to streamline the pre-registration process by capturing and routing physician orders to appropriate clinical areas. TRACE will replace a fax solution that required saving faxes in shared folders and sending emails to notify various departments. “We had to have a naming convention to determine how to save each file so we could find it later,” said Kathleen Dahlgren, Revenue Cycle Officer at Cheyenne Regional. Despite these efforts, faxes were often moved, deleted or duplicated in multiple folders. By routing all faxes through a web-based tracking system, TRACE will eliminate the need to request re-faxes of missing orders, improving customer service to physician offices. “We will easily be able to realize savings of an FTE just by eliminating time spent in document management,” said Dahlgren. “Now we can convert that time to direct contact with patients.” By contacting more patients prior to scheduled service, Cheyenne Regional will improve throughput from the front door to the clinical area. The process will also help with direct admit orders from physician offices. “When orders come in, we can pre-register and notify multiple areas so patients can go straight to the floor upon arrival,” said Dahlgren. Among other processes targeted for implementation are Case Management for eligibility/precert requests, Patient Financial Services for patient calls and Human Resources for background/excluded provider checks. Clinical areas will also use TRACE for signed date/time and patient follow-up post-discharge.
